Settings

Open the account menu beside your name and select Settings. Available tabs are Account, Security, Preferences, Sessions, Data & Privacy, Prompt templates, Onboarding and, when enabled, Announcements.

Account and profile#

Account shows your name, email address, username, verification status and role.

For a local account, edit available profile fields and save them. Usernames must follow the displayed length and character rules. For an SSO account, Intra AI explains that the identity provider manages profile details.

Change your password

1. Enter your Current password.
2. Enter a New password of at least 12 characters.
3. Repeat it under Confirm new password.
4. Select Update password.

Changing your password signs out your other sessions. Your current session remains active.

Security#

Use Security to manage your authenticator app and passkeys. For an SSO account, your identity provider may manage these settings and Intra AI shows an explanatory notice instead.

Two-factor authentication

Depending on its current state, you can:

• Enable 2FA and complete the setup wizard;
• Register new device, replacing the previous authenticator enrolment;
• Regenerate backup codes, invalidating the old codes;
• Disable 2FA if your organisation’s policy permits it.

Changes require confirmation with your password and an authenticator or backup code. Save new backup codes immediately; they will not be shown in full again.

Passkeys

Select Add passkey, confirm your password and follow the device prompt. Existing passkeys show their creation date, last use and, where applicable, Synced. You can rename or Remove them. If a passkey is your only required second factor, add another method first.

Language and appearance preferences

Example instance with sample data. Available controls depend on your role and configuration.

Preferences#

Preferences contains these visible options:

• Theme: Light or Dark.
• Language: the interface language.
• Memory → Use memory: allows new chats to save details and reuse them later.

Turning memory off stops new entries and stops saved entries being used in answers. It does not delete entries already stored. If the administrator has disabled memory, you cannot use the switch.

Sessions#

Sessions lists active devices. This session identifies the current browser.

• Select Revoke session to sign out another device.
• Select Sign out all others to end every session except the current one.
• Use Sign out in the account menu to end the current session.

Revoke unfamiliar sessions and change the password for a local account.

Data & Privacy#

Download personal data

Select Download data to request an export of your personal data. The interface lists items including profile and preferences, your conversations and messages, and related audit entries. Store the file according to your organisation’s rules.

This personal data export differs from exporting one chat under Exporting chats.

Review terms history

The section shows whether and when you accepted or declined versions of the terms of service. It is a history view; current terms may also be opened through the application’s relevant links.

Retention

When a retention section is shown, it displays periods for chats and files. Your administrator may set these values. Shortening a period can delete existing older content during the next cleanup. Project or agent knowledge may follow different retention rules. Read the displayed description before saving.

Prompt templates#

Use Prompt templates to create and manage personal prompts for recurring work.

1. Create or edit a template.
2. Enter a clear title and the full prompt.
3. Save it.
4. Enter / in an empty chat box to select it.

Your administrator manages global templates separately from your personal templates.

Onboarding#

Onboarding lists available product tours and their status. Select Replay for one tour, or Restart all tours to reset progress and offer them again. Available tours depend on enabled features and permissions.

Announcements#

When enabled, Announcements shows current messages from your administrator.

• Open displays the full announcement.
• Show in banner or Hide from banner controls its banner display.
• Receive announcements by email controls announcement email. Turning it off also stops maintenance and incident announcements by email; they remain available in the application. Account emails such as password resets are unaffected.
