Roles and permissions
There are three roles: Admin, Manager and User. Users don’t see the admin console. For managers, we set for each area whether they can only view it or also change it.
Governance
Admins, and managers who have been given access, see how your team uses Intra AI and how many tokens that takes. The figures are combined and name nobody by default. If you want, a summary goes out by email once a week to people you choose.
Sample figures for Nordwerk, a made-up company. The success rate counts answers that arrived without an error or a quick repair. It doesn’t measure whether they’re correct. The 97% is the default target, not a promise.

Groups mirror your departments and teams. They decide who can see and use an agent or an integration. Features like web search apply to the whole instance.
Tokens are the unit AI models count text in. Each person has a monthly limit. Managers can adjust it within the bounds we set: more for people who work with it a lot, less for the rest.
The audit log shows who signed in, changed settings or roles, or started an agent, when, and with what outcome. What anyone wrote isn’t in the log. Admins can open it, managers only if they’ve been given that permission, and opening it gets recorded too. Entries stay for 90 days.
The report shows who pulled analytics that name people, when, and how many people were named. It exports as a CSV file.
Nobody can turn on person-level analytics with a click in the admin console. It takes a change to your instance’s configuration, plus a separate permission that admins don’t automatically have. Anyone pulling the figures then has to state a purpose. Resolving a pseudonym takes approval from a second person.
Analytics holds back figures for very small groups. The minimum size is 3 to 5, depending on how many people were active, and an admin can change it. That doesn’t make the figures anonymous in the legal sense.
You describe once what your company does, which teams and tools it has and how it writes. As soon as you publish the profile, conversations and agents start from it, and your team doesn’t have to explain all that again each time. The preview shows you exactly what the assistant receives.
The display name, accent color and logo are set in the admin console. The logo sits in the header next to the Intra AI mark. Announcements to your team, such as planned maintenance, show up as a banner on the chat start screen and stay available in settings.
We operate your dedicated instance for you. We install updates, back up your data regularly and restore it if needed. If something breaks, we get an automatic alert. Your IT team doesn’t have to deal with maintenance, and you get support during business hours.
Your instance runs separately from every other customer. Development and data storage in Germany. Open-weight models run in Germany, frontier models in the EU region.
